  • A month per sheet, 25 lines grouped into staff, site, statutory and financial
  • Evaporation and working capital above the payments, where a bank statement misses them
  • Compare — three months side by side with the movement computed

The format is argued for in what a pump actually spends.

The two costs that never appear as a payment

They are at the top of the sheet, above everything a bank statement would show, because that placement is the point of the whole register.

Evaporation is fuel you bought and never sold. Nobody writes a cheque for it, so it appears in no ledger and gets left out of almost every estimate of what an outlet costs to run. It is priced at what you paid, not at the commission you would have earned, and it scales with volume.

Working capital is the cost of paying for every tanker load before you sell it, extended further by every credit customer. The money is not spent — you get it back the day you close — but it is not earning anything either, and a plan that ignores it is a plan that runs short in month one.

Grouped so you can see what is missing

Twenty-five lines in four groups — staff, site, statutory and financial — because a flat list is impossible to check for omissions and a grouped one is not. Reading down a group and finding nothing under 'statutory' is a question; reading a list of forty unsorted items and not noticing is the normal outcome.

The compare sheet puts three months side by side with the movement computed, which is the view that finds a cost that has quietly grown rather than one that is simply large.

Questions about the monthly expense register

Should I include my own salary?

If you want the number to mean profit rather than drawings, yes. An owner who works the forecourt full time and does not cost that time is comparing their outlet against one that pays a manager to do the same job, and the comparison flatters the wrong site.

How do I put a number on evaporation?

From your own stock variance over a period long enough to be a trend, priced at your purchase cost. The stock variance calculator gives the litres; this sheet is where the rupees belong.

Why is interest here if I have no loan?

Because the cost of capital is real whether or not it is borrowed. Money sitting in a tank is money not doing anything else, and leaving it out makes an outlet look more profitable than it is against any other use of the same money.
