Terms of service

The terms on which PumpDesk is provided. Last updated 20 August 2026.

1. The agreement

These terms govern your use of PumpDesk. By creating an account you accept them. If you are accepting on behalf of a business, you confirm you are authorised to bind it.

2. Accounts, organisations and roles

When you sign up you become the owner of your own organisation. You are not an administrator over anyone else’s, and nobody is an administrator over yours.

You invite people and grant each a role on a specific outlet. You are responsible for who you invite and what you grant them, and for removing access when someone leaves. Roles are enforced on the server, but they are only as accurate as your decisions about who holds them.

You are responsible for keeping account credentials secure and for activity under your account.

3. The trial

Every account starts on a 14-day trial: one outlet, up to two people, no payment details collected.

The trial does not convert itself. When it ends you choose a plan or the account pauses. We will not begin charging you because a period elapsed.

4. Plans and limits

Three limits are enforced on the server and are checked every time you create an outlet or send an invite: the number of outlets, the total number of people, and the number of them who may hold the manager role. Hitting one is a refusal, not a warning.

Current plans and limits are set out on the pricing page. We may change plans and prices; changes to the price of a plan you are on take effect from your next renewal and are notified in advance.

5. Billing and renewal

  • Plans are billed monthly in advance, in Indian rupees.
  • Prices are exclusive of GST, which is applied where applicable.
  • Payment is processed by Razorpay. Recurring collection may use a UPI Autopay mandate or a card mandate, which you authorise at checkout and can cancel through the same channel.
  • If a renewal fails, the account enters a grace period before it pauses. During grace, the service continues.
  • A paused account is not deleted. Your data remains and remains exportable.

See the refund policy for cancellations and refunds.

6. Your data

Operational data is yours. Meter readings, dips, deliveries, shifts, payments and expenses belong to you. We process them to run the service for you and for no other purpose — not analysed across customers, not used to train anything, not sold.

Every report exports to Excel and PDF over any date range you choose, at any time, including while an account is paused. How we handle personal data is set out in the privacy policy.

7. Acceptable use

You agree not to:

  • Use the service to store data unrelated to operating a fuel outlet, or anything unlawful.
  • Attempt to access another organisation’s data, or probe or circumvent authorisation checks.
  • Resell or provide the service to third parties as your own.
  • Automate access in a way that degrades the service for others.

We may suspend an account that breaches this section. Where the breach is not deliberate we will tell you first.

8. Availability and changes

We aim to keep PumpDesk available and do not offer a contractual uptime guarantee. Maintenance, third-party outages and faults will sometimes make it unavailable.

The service evolves. Features may be added, changed or removed. Where something is removed that you rely on, we will say so inside the app rather than letting you discover it.

An entry needs a connection to save. There is no offline entry. If your site has intermittent connectivity, establish during the trial whether that is workable for you.

9. Reliance on the figures

PumpDesk computes figures from what you and your staff enter. It cannot verify that a meter reading was taken accurately, that a dip was measured correctly, or that a collection was recorded honestly. Its output is only as good as its input.

It is an operational tool, not a substitute for professional accounting, statutory compliance, or safety and calibration obligations under your licences. A stock variance shown by PumpDesk is a signal to investigate, not a conclusion about what caused it.

10. Liability

To the extent permitted by law, our aggregate liability arising out of or relating to the service is limited to the fees you paid in the twelve months before the event giving rise to the claim.

We are not liable for indirect or consequential loss, loss of profit, loss of business, or loss arising from decisions taken in reliance on figures derived from data you entered.

Nothing here limits liability that cannot lawfully be limited.

11. Ending the agreement

You may cancel at any time from the Billing page. Cancellation stops future renewals; the plan runs to the end of the period already paid for, after which the account pauses.

We may terminate for a material breach of these terms that is not remedied after notice. Before any termination we initiate, you will have a reasonable opportunity to export your data.

12. Governing law

These terms are governed by the laws of India, and the courts of India have exclusive jurisdiction over any dispute arising from them.

13. Contact

Questions about these terms go through Support inside the app, or via the contact page.
